The inbox was doing the work of an operations system.
Turn fragmented maintenance messages into structured drafts for work orders while keeping staff in control of routing and escalation.

Where the work began.
A property management business received maintenance requests through email, forwarded messages, photographs and later replies. Residents described the same issue in different ways. Addresses and unit numbers were sometimes missing, and several messages referred to one unresolved repair.
The coordinator needed the details brought together without losing the original message or handing routing and safety decisions to AI.
02 / The approach
What we did.
RFA's automation specialist and integration engineer worked with the maintenance coordinator to map intake, review, assignment and closure. They structured intake around a defined schema: property, unit, issue description, reported location, resident contact details and stated access constraints. The workflow preserved the original message alongside the draft.
The team checked extracted property and unit details against the management system. Model output alone did not establish that a field was correct. Thread identifiers and existing open work orders supported duplicate detection, while missing or conflicting details went to a review queue with unresolved fields highlighted.
RFA kept potential emergencies within predefined escalation procedures. AI did not independently decide that a situation was safe. Staff retained responsibility for reviewing the draft and choosing the next action.
The team connected approved drafts to the property system through its supported interface. Processing logs, safe retries and controls for duplicate submissions gave operations staff a way to trace processing problems.
03 / The scope
What the work covered.
- Structured maintenance intake drafts
- Validation and duplicate review
- Staff controlled routing and escalation
- Processing controls and evaluation plan
04 / The outcome
What the work established
The work established a maintenance intake workflow connecting source messages, checks against property records, duplicate review and staff approval. It also defined the handoff from an approved draft to the property management system.
The evaluation plan identified intake handling time, completeness of required fields, duplicate work orders and correction rates during review as the measures of impact.
Bringing the messages into one draft gave our coordinators the context for review. They still made the call on what happened next.
