01Client documents with their source intact
Collect an agreed document set from an approved mailbox or upload area. Propose client, engagement, document type and period fields, then check them against known records. Retain originals and access permissions. Leave ambiguous values open for review instead of guessing an account or engagement.
02Completeness before assignment
Compare received files with a service checklist. Put missing pages, unreadable scans, repeated uploads and mismatched periods into an exception queue. Give the coordinator the reason each file stopped and let them approve requests for missing information before they reach the client.
03A reviewer can see what changed
Present proposed fields beside source passages and record corrections, reassignment and signoff. Distinguish AI suggestions from client-provided facts. Staff decide when the document set is ready and approve interpretations or deliverables shared with the client.
04Confirmed updates across existing tools
Use supported interfaces to connect the intake queue with the agreed CRM or document system. Record write responses and protect against repeated submissions. A failed update stays visible to its owner; staff need a way to resume or complete the handoff manually.
